Summer Call for Abstracts
This call closed July 20, 2022.
Proposals submitted during the summer call are for the Annual Assembly of Hospice and Palliative Care will take place March 22-25, 2023 in Montréal, Canada. This is a great opportunity to share and disseminate best practices in the field. This call is open to all hospice and palliative care professionals across all settings and career stages.
About the Call
Annual Assembly is presented in an omnichannel format, creating an engaging educational experience for every attendee designed to meet the unique needs of each participant resulting in the enhanced delivery and quality of hospice and palliative care provided to patients and families.
This call was formerly known as the call for concurrent sessions and scientific and quality improvement (QI) papers and posters.

Abstract Submission Options
- Presenting a 30-minute or 15-minute live, in-person session
- In addition, lead faculty is expected to submit a self-recording of session prior to conference start for release into the virtual platform for on-demand viewing.
- Presenters are required to register for the Annual Assembly of Hospice and Palliative Care.
- Faculty are encouraged to engage with both live and virtual attendees via networking channels.
- There is a limit of three abstracts per submitter.
- Presenting a digital poster
- At least one author per submitted poster is expected to participate in the faculty attended poster sessions in-person on Wednesday, March 22, 5:30-7pm ET and/or Thursday, March 23, 5-6pm ET, as a condition of acceptance and be registered to attend the 2023 Annual Assembly.
- Faculty are encouraged to engage with both live and virtual attendees via networking channels.
- Poster Size: Electronic submissions only. If selected, presenting author is required to provide an electronic file of the poster for the virtual poster hall. Details of poster electronic requirements will be provided upon acceptance.
- There is a limit of three posters per submitter.

Important Abstract Submitter Information
- There can be a max of 8 authors for a 30-minute podium presentation.
- There is no max number of authors for a 15-minute podium presentation (due to the nature of content, Sci, QI, Research).
- There is no max number of authors for a poster presentation (due to the nature of content, Sci, QI, Research).
- The max number of abstracts allowed per submitter is 3.
- Disclosure forms must be collected for all authors included on the abstract.
- There will be an option to select which authors will be presenting on the submission form.
Annual Assembly Desired Outcomes
The AAHPM and HPNA collectively identify and share the responsibility to advance the specialty of hospice and palliative care. Our purpose for this assembly is to foster a premier continual learning experience where expert, proficient, and early career hospice and palliative care providers and nonspecialty clinicians wishing to integrate primary hospice and palliative care into their practice can collaborate to advance the care of patients and families with serious illness.
Through interdisciplinary team collaboration and integrated enactment, our Annual Assembly desired outcome is to enhance the learners’ knowledge/skills/strategy or performance to increase competency, influence behaviors, and/or improve patient outcomes in hospice and palliative care.
Diversity, Equity, and Inclusion
The Planners of the 2023 Annual Assembly are committed to creating a welcoming environment in which all members see themselves reflected in the Annual Assembly experience and can join together to support one another in a diverse and inclusive atmosphere. In support of this commitment, submitted abstracts are to address the impact of the proposed topic or research on underrepresented and underserved populations to better equip hospice and palliative care professionals with knowledge and skills to deliver high quality, culturally sensitive person-centered care. You are asked to address issues of cultural humility and sensitivity in your abstract, case examples, and, where applicable, describe how issues of cultural diversity and inclusion are considered in the specific aims or session narrative of your proposed content.
Submission Instructions
To get started, download the 2023 Abstract Submission Guide to work with your colleagues before entering the information to the electronic submissions system. Hard copy proposals will not be accepted.
All information requested on the electronic submission form were due by July 20, 2022, at 11:59pm PT.
Abstract Submission Fee: There is a $40 non-refundable abstract processing fee for submission of each abstract for peer review to be paid upon completion. This includes a $1 credit card transaction fee for a total of $41 to be charged to the credit card used. Please complete the attestation in the online submission form when submitting your abstract.
Once you have completed all forms, paid the fee, and clicked “Submit” via the electronic submission system, the abstract will automatically be sent to the AAHPM office.

The Call for Abstract Reviewers
The call for reviewers is now closed.
As a potential reviewer, we ask that you complete a disclosure form to ensure educational content is fair and balanced, and any clinical content presented supports, safe, effective patient care.
- This includes the expectations that:
- Recommendations for patient care in accredited continuing education must be based on current science, evidence, and sound clinical reasoning, while giving a fair and balanced view of diagnostic and therapeutic options.
- Scientific research referred to, reported, or used in accredited education in support or justification of a patient care recommendation must conform to the generally accepted standards of experimental design, data collection, analysis, and interpretation.
- Although accredited continuing education is an appropriate place to discuss, debate, and explore new and evolving topics, these areas need to be clearly identified as such within the program and individual presentations. It is the responsibility of accredited providers to facilitate engagement with these topics without advocating for, or promoting, practices that are not, or not yet, adequately based on current science, evidence, and sound clinical reasoning.
- Content cannot be included in accredited education if it advocates for unscientific approaches to diagnosis or therapy, or if the education promotes recommendations, treatment, or manners of practicing healthcare that are determined to have risks or dangers that outweigh the benefits or are known to be ineffective in the treatment of patients.
- Recommendations for patient care in accredited continuing education must be based on current science, evidence, and sound clinical reasoning, while giving a fair and balanced view of diagnostic and therapeutic options.
- Review abstracts and rating criteria listed on the online review form.
- Provide comments. The primary purpose of including comments is to assist the planning committee with the abstract selections. Comments should be communicated clearly and professionally. The reviewer may be referenced to provide author feedback, if requested by the author.
Note: current AAHPM or HPNA membership is required to be eligible to review abstracts.
If interested in reviewing abstracts for the Summer call, please plan to be available August 8- 22, 2022 to review abstracts through the online review system.

Review and Notification
Abstracts will be reviewed by members of the Annual Assembly Planning Committee based on the review criteria.
Abstracts will begin the review process in August 2022.
Notification of abstract status will be sent via email in fall 2022 to the submitting author listed on the abstract.
Registration
If your abstract is accepted, all presenting faculty must register for the Annual Assembly of Hospice and Palliative Care.
Poster presenters only: At least one author per submitted poster must be willing to participate in the faculty attended poster sessions in-person on Wednesday, March 22, 5:30-7pm ET and/or Thursday, March 23, 5-6pm ET, as a condition of acceptance and be registered to attend the 2023 Annual Assembly.

Authors are asked to consider both the impact of their proposed topic or research on underrepresented and underserved populations and its relevance to the diverse groups of attendees. Accordingly, faculty are encouraged to address issues of cultural competency in their abstracts, examples, and presentations. When applicable, faculty are encouraged to describe how issues of cultural diversity and inclusion are considered in their specific aims or session narrative. Authors may also consider the current state of the pandemic, but it is not required.
· Proposals from both previous presenters and individuals who have not presented before are encouraged to submit.
· Proposals from any member of the interdisciplinary team are encouraged.
· Submissions cannot contain any information that could personally identify a patient or staff member, or any identifying geographical or facility names.
· We encourage authors with multiple abstracts to thoughtfully submit their two best abstracts for review.
· An average of 25 to 30 percent of abstracts are typically selected for presentation.
· If accepted, please plan to present in person; however, there may be a virtual/on-demand component to accepted presentations as well.
Abstracts for this call are due July 14, 2021 at Noon PT. Hardcopy proposals cannot be accepted.
Abstract Submission Fee: In order to defray our administrative costs, a nominal fee of $30 is applicable for an abstract to be submitted for review. Please complete the attestation in the online submission form when submitting your abstract.
