Call for Case Submissions

The Assembly Case Submission Subcommittee accepts case submission proposals for the Annual Assembly of Hospice & Palliative Care, March 18-21, 2020 in San Diego, CA.
- Proposals from both previous presenters and individuals who have not presented before are encouraged to submit.
- We encourage authors with multiple abstracts to thoughtfully submit their two best abstracts for review for 2020.

The Annual Assembly is an opportunity to share and disseminate best practices in the field. Authors are asked to consider both the impact of their proposed topic or research on diverse and underserved populations and its relevance to the diverse groups of attendees. Accordingly, presenters are encouraged to address issues of diversity and inclusion in their abstracts, case examples, and presentations. When applicable, presenters are encouraged to describe how issues of diversity and inclusion are considered in their specific aims or session narrative.
Submissions should further the Annual Assembly Purpose and Objectives.

Abstracts can be submitted for the following presentation types:
Case Oral Presentation:
- A 15 minute oral presentation
- Topic focused on issues significant to hospice and/or focused on any of the "Clinical Practice Guidelines for Quality Palliative Care" domains faced by the interdisciplinary team.
- The AAHPM & HPNA are supporting nine 60-minute sessions allowing for a total of thirty-six (36) 15-minute presentations.
- Interdisciplinary teams are composed of representatives from multiple disciplines (e.g. medical physician, nursing, chaplaincy/spiritual, pharmacy, psychology, social work, occupational therapy, physical therapy) who share their expert knowledge from individual assessment of the patient and family to help in formulating one single unified care plan for the patient and family. Interdisciplinary teams work in contrast to multidisciplinary teams which are composed of different disciplines who individually assess patients, share knowledge with the team, then each discipline provides the patient with a separate care plan based on their discipline.
Case Poster Presentation:
- A visual poster presentation of a case study featuring the interdisciplinary team.
- Topic focused on issues significant to hospice and/or focused on any of the "Clinical Practice Guidelines for Quality Palliative Care" domains faced by the interdisciplinary team.
- The AAHPM & HPNA are supporting a total of 146 visual poster presentations.
- Interdisciplinary teams are composed of representatives from multiple disciplines (e.g. medical physician, nursing, chaplaincy/spiritual, pharmacy, psychology, social work, occupational therapy, physical therapy) who share their expert knowledge from individual assessment of the patient and family to help in formulating one single unified care plan for the patient and family. Interdisciplinary teams work in contrast to multidisciplinary teams which are composed of different disciplines who individually assess patients, share knowledge with the team, then each discipline provides the patient with a separate care plan based on their discipline.
Abstracts for this call can be submitted from October 1-November 1, 2019. Your proposal will automatically be sent to the AAHPM office after you have completed all forms and clicked submit. Hardcopy proposals cannot be accepted.
The following professional statuses are encouraged to submit a case study:
- Professional in Training (anyone currently engaged in formal education or training programs: fellows, advanced practice nurses, social workers, residents, students, and others)
- Early Career Professional (anyone that is 5 years or less post training)
- Professional (anyone that is 5 or more years post training)
What to Include
Please complete all information requested on the electronic submission form, including the following:
- Title: Take special care when entering your title. If selected, it may be pulished, and title will be printed exactly as submitted.
- When entering the abstract title online, use mixed case (do not use all CAPS or all lower case) and do not put a period at the end of the title.
- Enter the title in the "Title" field only and do not enter the title in the body of the abstract.
- Example of correct title formatting:
- Correct: This is a Properly Formatted Abstract Title
- Incorrect: THIS IS AN IMPROPERLY FORMATTED ABSTRACT TITLE
- Incorrect: This is an improperly formatted abstract title.
- Topic Focus: issues significant to hospice and/or focused on any of the "Clinical Practice Guidelines for Quality Palliative Care" domains faced by the inderdisciplinary team.
- Measurable behavioral objectives: Attendees rate your session based on how well you meet your objectives. Please design your objectives to help further the educational purpose of your case study.
- Abstract: must be 300-words that includes the background, case description and conclusion and is of publishable quality.
- Conflict of Interest: all authors and coauthors are required to disclose potential conflicts of interest prior to submitting the abstract.
- We encourage authors with multiple abstracts to thoughtfully submit their two best abstracts for review.
- Please include optional information requested in the submission tool to help with the review process.
- Include members of the interdisciplinary team and how they help decision making for the case.
- Include a preliminary list of references (OPTIONAL).
- Submissions cannot contain any information that could personally identify a patient or staff member, or any identifying geographical or facility names.
- Proposals from both previous presenters and individuals who have not presented before are encouraged to submit.
- Proposals from any member of the interdisciplinary team are encouraged.
- Professionals-in-training will need to identify themselves as well as a sponsoring faculty member in their submission.

Review and Notification
Abstracts will be reviewed by members of the Annual Assembly Case Submission Subcommittee based on the following criteria:
- Adds to existing knowledge, presents an innovative/cutting edge topic
- Has significance/importance/relevance to hospice and palliative care
- Scientific/Clinical content is valid and supports the conclusion
- Is well written and clearly communicated
- Meets the selected objectives for the Annual Assembly
Notification of abstract status will be emailed in December 2019 to the presenting author listed on the submission.
Registration
Presenters of accepted proposals are required to register for the Annual Assembly and pay appropriate fees related to their attendance as well as travel and expenses.
