Frequently Asked Questions
Why is the 2022 Annual Assembly now only offered 100% virtually?
After evaluating the current pandemic environment and its effects on the healthcare systems, personnel and their families, the AAHPM and HPNA Board of Directors have decided to cancel the in-person 2022 Annual Assembly. With the growing number of registrant and faculty cancellations, as well as the numerous institutional travel restrictions in place, our leadership has determined that it is in the best interest not to move forward with the in-person meeting offering.
What about the additional events associated with the Annual Assembly?
We are currently working on planning and logistics with the faculty of the pre-conference sessions to determine the feasibility of hosting these virtually. The exhibit hall and the posters will be available via the virtual event platform. Please look for more information regarding specific receptions and committee meetings. If you were meeting with another organization onsite in Nashville, please reach out to them directly with questions.
I was registered for the in-person Assembly. Do I need to re-register for the virtual Assembly?
Each attendee registered for the in-person Assembly will be automatically transferred to the virtual Assembly experience. There is nothing more you need to do.
I purchased a Guest Pass for someone to join me in-person. Will they be able to participate in the virtual Assembly?
Will attendees and exhibitors be refunded by AAHPM or HPNA for hotel and airline costs?
Neither AAHPM nor HPNA will be able to reimburse you for your travel expenses.
For those who have already booked a hotel in an Annual Assembly room block at one of our host hotels, your room reservation will be automatically cancelled. If you booked a hotel room outside of the Annual Assembly room block or at another property, you will need to cancel that reservation on your own.
Regarding flight reservations please contact your airline for their specific change and cancellation policies for your flight.
Will exhibit fees be refunded?
Exhibitors will qualify for an additional complimentary package of benefits by pivoting to a virtual booth. However, if you wish to not participate in a virtual experience, exhibitors may receive a full refund of their exhibit fee.
Can AAHPM apply my registration to a future meeting or event?
No, it is the Academy's policy to refund registration fees if an individual no longer wishes to attend an AAHPM-sponsored event. You will need to register separately for future events.
I was scheduled to present a session, paper, or case at the in-person Annual Assembly. Does the cancellation of the in-person portion mean I can no longer list my presentation on my resume or CV?
Even though your presentation may be altered, it is acceptable to include your presentation or poster in your CV and note that the in-person conference was cancelled. Use the following resource to guide your resume or CV update.
The 30- and 60-minute and invited concurrent session abstracts and scientific and quality improvement abstracts will be printed in an upcoming issue of the Journal of Pain and Symptom Management (JPSM). The case study and scholar poster abstracts will not be published in JPSM.
We encourage you to consider submitting an abstract for the 2023 Annual Assembly. The call information will be available at annualassembly.org this spring.
Will any additional sessions be made available virtually?
The Annual Assembly planning committees and staff are hard at work preparing for a fully virtual schedule to include additional educational content, as well as more opportunities for engagement and connection. We will share options in the coming days for presenting the content that you have all worked hard to develop.
Will sessions be made available for on-demand viewing?
Yes. Session presented in the Annual Assembly virtual program will still be made available for viewing until May 10, 2022.
What time zone will the virtual conference schedule follow?
Central Standard Time is the official time zone of the virtual Annual Assembly program.
When is the next Annual Assembly?
The next Annual Assembly will be held March 22-25, 2023 in Montreal, Canada.
If I wanted to support the Academy with a donation, how can I do that?
Thank you for your support and thoughtfulness. Although we cannot transfer any existing payments to a donation fund, you can make a donation directly at aahpm.org/donate.
I was going to be honored on Saturday morning and receive my official "FAAHPM" designation. Can I use the designation now?
Yes, new Fellows are eligible and encouraged to use the FAAHPM designation once they are notified - it is not contingent upon walking on stage. We are looking at alternate ways to publicize/honor those who received the designation this year.
Can I still connect with exhibitors virtually?
Yes, companies have been given the option to exhibit virtually, and you will be able to chat with them through their virtual booth and discuss important issues with them in the Action Lab Session on Wednesday, February 9.
How many credits can I claim for the Annual Assembly?
The 2022 Annual Assembly will offer a maximum of 24.5 Accredited Continuing Education Credits for successful participation in the live conference event with additional credit hours available to registered attendees for on demand content. The number of CME/MOC credits are subject to change upon faculty availability and finalization of the on demand content.
Credits can be earned until May 31, 2022 by watching educational sessions on-demand after the Annual Assembly concludes.
Cancellation & Transfer Policy
AAHPM and HPNA reserve the right to substitute faculty or cancel or reschedule sessions due to low enrollment or other unforeseen circumstances. If the Assembly is cancelled, registrants will receive a full credits or refunds of their paid registration fee. No refunds can be made for lodging, airfare, or any other expenses related to attending the Assembly.
Will there be networking available?
Yes. Networking is an important aspect for attendees that has been missed by all. We are putting together a variety of opportunities to take advantage of.
What if I have additional questions?
AAHPM and HPNA will continue to update the website and provide additional communications to exhibitors and attendees; please check back regularly and/or watch your email inbox for these communications.
